Every referrer in one directory
The Directory holds every doctor and clinic that sends you patients, and everyone you write to: specialists, family physicians, hospitals, insurers. Each one's details are kept once and used everywhere. When a patient is referred, attach the referrer to the patient's file at the desk.

Write back in minutes
From the patient's case, start a new letter and choose one of your templates, for example an assessment report, a progress update or a discharge summary. The patient's details, the referrer's name and address and your clinic's details fill themselves in. Add your findings, the plan and, ideally, the outcome measures that show progress.
On your letterhead
Upload your clinic letterhead once and set where the writing goes. Every letter is then written on it, and prints edge to edge with your margins and fonts. Each printed page carries a document ID saying who printed it and when.
Draft, then final
A letter stays a draft while you write it. When you finalise it, it is frozen: the content, the sender and the recipient. If something needs correcting, you write a new letter that replaces it, because the copy the doctor holds must stay the copy you hold. This is the same reason signed treatment notes cannot be edited.
Send it from the file
Email the letter straight from the patient's record. It is kept on the file with the date it was sent.
Nothing left half-written
Letters you started and did not send show on your dashboard under Unfinished letters, oldest first. A doctor waiting for a report that someone thinks was sent is exactly what this card prevents.
See which doctors refer the most
The Referrers and sources and Referral values reports show which doctors send you patients, how many, and the value of what they send. It tells you whose referrals to thank, and which relationships need attention. See clinic reports.
A simple routine for referral letters
- After the assessment: a short letter with the findings, the plan and the expected number of sessions.
- Midway, for longer cases: a one-paragraph update with the latest measure.
- At discharge: the outcome, the starting and final scores, and the home advice given.
Three short letters per referred patient, each written in a few minutes, build a referral relationship that lasts years.
Patient privacy in letters
A letter carries a patient's clinical information. It is part of the patient's record, kept on file, and the people who can open it are set by role. See patient data security and the DPDP Act.
