Reminders have their own guide
Appointment reminders are the message patients need most, and they have their own guide: WhatsApp appointment reminders. The templates here are for the messages a person decides to send:
- Welcome before the first visit. What to wear, which reports to bring, who they will see.
- Running late. Early and honest, so the patient can plan.
- Missed appointment follow-up. A kind check-in that makes rebooking easy. More in reducing no-shows.
- Checking in after treatment stopped. For the patient who stopped half-way. Personal, not a sales message; see bringing lapsed patients back.
- Six-month review recall. For long-term conditions and maintenance programs.
- On my way. For home visits, so the family is ready at the door.
- Holiday closure. For festivals and holidays: when you close and when you reopen.
And four emails, for when there is more to say: thank you after the first visit, please complete your form, home exercise check-in and feedback request.
What makes a good clinic message
- Short. Three or four lines. A patient reads a short message the moment it arrives.
- Their name, your name. "Hello Priya, this is Dr Mehta's clinic" reads like a person. "Dear patient" reads like a machine.
- One clear next step. Reply here, or call. Not both and a link.
- Kind on a missed session. Most missed sessions are forgotten, not rude. A warm message rebooks; a scolding one loses the patient. Your cancellation policy does the firm part.
The parts that change for each patient
The templates mark the parts that change: the patient's first name, the session time, the clinic's phone number. Replace them for each patient before you send. Anything in square brackets, such as the reopening date, is yours to fill in.
Using the templates in Clinidiary
Open Settings, then Resources library, and press Add to my practice on the messages you want. They become your saved messages, under Settings, Saved messages, where you can reword them to sound like your clinic. When you need one, copy it from there into WhatsApp or an email.
Frequently asked questions
Are these message templates free?

Yes. Once added they are your clinic's own saved messages. Change them, or write them in Hindi, Gujarati or any language your patients prefer.
How long should a clinic WhatsApp message be?
Three or four lines. Say who it is from, what you need, and the one thing to do next.
Do these replace appointment reminders?
No. Reminders have their own place in Clinidiary. These templates are for the messages a person chooses to send.
