Why cancellations cost more than you think
A physio clinic sells time. An empty 45-minute slot is income that never comes back, and the physio is still paid for that hour. If your clinic has three or four cancellations a day and fills none of them, that adds up to lakhs of rupees in a year.
Most patients who are waiting would happily take an earlier slot. The problem is not demand. It is finding the right person in the next few minutes.
A list that matches, not just a list
The Clinidiary waiting list is not just names on a page. Each entry says what the patient actually wants:
- the service, for example a follow-up, not an assessment;
- which physio, or anyone;
- which branch;
- which days they can come;
- the time of day they can manage, say after 5 pm;
- from when, and until when, the request is good;
- a priority and a short note, like "post-op, wants to start soon".
When a slot frees up
When an appointment is cancelled, Clinidiary looks at the waiting list and shows who fits that exact slot: the right service, the right physio, the right day and time. Instead of reading through every name, the front desk sees the two or three people who can actually take it.
Call or message the first one. When you offer the slot, mark it as offered, so the next person at the desk does not call the same patient again. When they say yes, book them in the diary and the entry closes.
Recently cancelled appointments
The waiting list tray also shows appointments cancelled in the last three months, newest first, with the reason given. It is useful to see patterns, like the same patient cancelling every Monday, and to call back patients who cancelled and never rebooked.
Tips for using the waiting list well
- Add patients at the desk, every time. When a patient takes a later slot than they wanted, add them to the list straight away, with the days and times they can do.
- Work the list before anything else when someone cancels. A slot cancelled in the morning is usually filled within the hour, or not at all.
- Use WhatsApp to offer the slot. "We have a 4 pm today with Dr Asha, would you like it?" gets a fast reply. See WhatsApp appointment reminders.
- Record cancellation reasons. They make the cancellations report useful. See how to reduce no-shows and cancellations.
- Let online booking help. Patients checking your online booking page see a freed slot as soon as it is cancelled.
Frequently asked questions
What is a waiting list in physiotherapy software?
It is a list of patients who want an earlier or different appointment, with the service, physio, days and times they can manage. When a slot is cancelled, the software shows who fits it.
Does the waiting list send offers automatically?
The front desk offers the slot, by phone or WhatsApp, and marks it as offered. Clinidiary shows who fits the slot so it takes a minute, not half an hour.
Can a waiting list entry expire?
Yes. Each entry can have a start date and an end date, so old requests drop off.
Can I see recently cancelled appointments?
Yes. The waiting list tray shows cancellations from the last three months with their reasons.
