Best Physiotherapy Software for a Solo Practice: Eight Tests for One-Person Clinics

You treat the patient, answer the phone, send the bill and write the note, often inside the same ten minutes. So the best physiotherapy software for a solo practice is not the one with the longest feature list. It is the one that stays out of your way between patients. Here are eight tests you can run on any product, with a plain answer for Clinidiary, the software we make, on each.

Why there is no single best physiotherapy software for a solo practice

No independent ranking of physiotherapy software in India exists, so be wary of anyone who names a winner for every clinic. What suits a three-branch centre can be a burden for one physio with one room.

We make Clinidiary, so read our answers with that in mind and check every one yourself. The first six months are free, with no card and nothing to pay at sign-up, which is long enough to run all eight tests on real patients. For the wider picture, the guide on what a physiotherapy PMS must do covers the same ground for clinics of any size.

Tests one to four: phone, price, notes, payments

1. Does it work on the phone you carry? A solo physio is rarely at a desk all day. Open the product on your own phone and try the diary, a patient file and a bill. Clinidiary runs in a web browser, and every screen works on a phone, on an iPad held either way and on a computer. Patients need no app for forms, video or booking.

2. What does it cost for one physiotherapist? Ask for the price after the trial, not during it. Clinidiary is ₹250 a month for each treating physiotherapist, plus GST, paid monthly with no contract, so for a solo physio that is the whole bill. Published prices for physio-only products were mostly ₹500 to ₹1,000 a month for a small clinic as of October 2026, but prices change, so check each company's own website. Our own numbers are in running a clinic for ₹250 a month.

3. Can you finish a note in the gap between patients? Time a real follow-up. In Clinidiary every note is written on a template and saved as you type, with a copy kept on the device if the internet drops. A note stays a draft until you sign it, then it locks, and the dashboard's Uncompleted notes card lists visits you have not written up. There is more in faster treatment notes for solo physios.

4. Can you take UPI at the plinth? Clinidiary shows a UPI QR code carrying the exact amount, built from your own UPI ID. The money goes straight to your bank, with no gateway and no gateway fee. The code collects but cannot confirm, so you record the payment with its UPI reference, and the bill can be shared as a WhatsApp link.

Tests five to eight: reminders, booking, leave, exit

5. Do reminders happen without a receptionist? Clinidiary writes each day's reminders in your clinic's wording, and one tap opens WhatsApp with the message ready to send. A person still presses send, which for a solo physio means one tap per patient. Email reminders go out automatically, and nothing is sent between 8 pm and 8 am.

6. Can patients book while you are with someone? Clinidiary gives you a booking page with your clinic's name, welcome and colour. You can link it from your Google Business Profile, Instagram bio or WhatsApp Business profile. Patients see only times inside your opening hours when you are free, and the time they pick is held for ten minutes while they fill in their details. Online booking has no separate charge.

7. What happens when you take leave? In Clinidiary, time can be blocked in the diary with a memo. During your trial, block a test week and open your own booking page to see what a patient sees. Whatever product you choose, run that exact test, and read taking leave as a solo physio for the bigger plan.

8. Can you leave, with your data? Ask before you start. In Clinidiary, a full export of patients, appointments, notes and bills works on any paid plan. During the six free months full exports are locked, though any one patient's record can always be viewed, printed or downloaded. A clinic leaving after the free months can pay for one month and take everything, and every export is logged.

Run the eight tests in one working week

Do not test in a quiet week with imaginary patients. Use your real clinic.

  • Monday: sign up with just an email, set up your hours and services, and open the product on your phone (test 1).
  • Tuesday to Thursday: write every note on the product, take every payment through it, and note which steps slowed you down (tests 3 and 4).
  • Wednesday: send tomorrow's reminders from the product and share your booking link with two friendly patients (tests 5 and 6).
  • Friday: block a pretend week of leave, check the price on the pricing page, and read the export rules (tests 2, 7 and 8).

Score each test as pass, partly or fail. Any fail on a daily task, such as notes or payments, matters more than a missing extra.

Three mistakes solo physios make when choosing

  1. Buying for the clinic you hope to have. Extra branches cost nothing and reception staff are free in Clinidiary, so you can grow into the software. You do not need to pay for it now.
  2. Judging by a demo. A demo is built to look easy. Your own Tuesday is the real test.
  3. Skipping the exit question. Ask how to get your records out before you put them in.

Choosing software is a small decision compared with treating patients, so give it a week, not a month, and decide.

Frequently asked questions

Which is the best physiotherapy software for a solo practitioner in India?

It depends on your clinic. Look for a diary on your phone, quick notes, GST bills with UPI, reminders and a price per physiotherapist that you can live with. Run the eight tests above on any product, ours included.

Do I need software if I only see a few patients a day?

Paper can work at first. The trouble usually starts with reminders, bills and finding an old note quickly. If you are unsure, the six free months let you try it without paying.

Can a free plan be enough?

Some products publish free plans with fewer features. Check whether notes, GST bills and reminders are in the free plan before you rely on it.

What happens after the six free months?

Clinidiary is ₹250 a month per treating physiotherapist, plus GST. It is paid monthly with no contract, so you can cancel any time, and a monthly plan simply stops at the end of the month.
