Home Visit Physiotherapy: Booking, Travel Time, Notes and Billing

Home visits are a big part of physiotherapy in India. An 80-year-old after a hip fracture, a patient two weeks after a total knee replacement, someone recovering from a stroke: many of them cannot come to the clinic, and their families would rather the physio comes home. Home visits are good work and good income, but they are hard to manage on paper. This guide explains how to run home visit physiotherapy in Clinidiary, from booking to the bill.

What makes home visits hard to manage

  • Travel time. A 45-minute session can take two hours with traffic. If the diary does not know that, the next patient waits.
  • Notes on the move. The physio is in someone's living room, not at a desk.
  • Collecting payment at the door, often by UPI.
  • Packages. Post-operative patients often take daily sessions for two or three weeks.
  • Knowing who is where. The clinic owner needs to see which physio is at which home.

Set up a home visit service

Create a Home visit service with its own length and price, separate from your clinic sessions. Home visits usually cost more, and they should show clearly on the bill and in reports. Each service has its own icon in the diary, so a home visit is easy to spot.

Book with travel time blocked

Book the home visit in the physio's column of the diary like any appointment. A home visit service can ask for travel time on every booking, because each house is a different distance: 15 minutes to a nearby society, 30 minutes back from a farther one. The diary shows the travel above and below the visit, nobody can book a patient into that time, and the online booking page will not offer it either. The diary shows the physio's real day. For planning whole days, see how home visit physios manage their caseload.

Keep the patient's address and a family member's mobile number on their file, so the physio has both before leaving.

Notes from the patient's home

Clinidiary works on a phone and a tablet, so the physio writes the note during or right after the visit. Notes save themselves as you type, and if the mobile signal drops, the note keeps a copy on the phone and saves it when the signal returns. See physiotherapy EMR and treatment notes.

Record a pain score or a function measure every few visits. For a family, seeing the TUG time improve is real proof that the visits are working. See outcome measures.

Packages for home patients

A home visit package, say ten or fifteen sessions, works exactly like a clinic package. Set it to cover only your home visit service, sell it once, and each visit counts down. See treatment packages and prepaid sessions.

Getting paid at the door

From the phone, raise the bill and show the family a UPI QR code for the exact amount, built from your clinic's UPI ID. They scan and pay, the money goes to your clinic's bank, and the physio records the payment with its UPI reference. Then share the bill on WhatsApp as a link. See GST billing for physiotherapy clinics.

When a video session is enough

Not every follow-up needs a visit. For a check-in or a progression of exercises, a video consultation saves the travel time. See tele-physiotherapy video consultations.
